Meteg Kalibrasyon Case Study: One System with KALDATA
Meteg Kalibrasyon is an accredited calibration laboratory that has been providing calibration services in temperature and humidity, balances, pressure, dimensional, volume, electrical and optical calibration since 2018. Built on quality and technical competence requirements, the laboratory carries out its calibration activities within a traceable, sustainable and systematic structure.
Meteg Kalibrasyon has been actively using KALDATA Calibration Laboratory Software since 2022. KALDATA enables many of the laboratory's processes to be managed in a single system: from quotation and customer management to device intake, from calibration and certificate processes to quality management, from personnel competence to reference equipment tracking, and from field operations to sales and performance reporting.
In this case study we look at how Meteg Kalibrasyon worked before KALDATA, what changed in the laboratory's processes after the move to KALDATA, and the results the system delivers in terms of operations, technical work and quality management.
Quotation and Customer Management
Company-Specific Quotation Design and Quotation Management
Rather than being limited to a standard quotation format, KALDATA allows company-specific quotation designs that match the company's corporate identity and needs. The layout and content of quotations can be customised to user requirements. Prices can be set per device, the revision history of quotations can be tracked and prepared quotations can be submitted to customers for approval digitally.
Customer Meeting and Communication Tracking
Meetings with customers and meeting notes can be recorded. Easy access to past meetings ensures continuity and traceability of customer communication.
Customer Feedback and Satisfaction Measurement
Customer feedback and feedback rates can be tracked. Customer satisfaction data is recorded so that it can be measured and reported.
Calibration and Certificate Processes
Device Intake and Device Tracking
Approved quotations can be turned into a laboratory intake or an on-site calibration plan. The process from device intake to completion of calibration can be followed in the system.
Online Certificate Creation and Tracking
Calibration measurement data can be entered in online spreadsheets, the laboratory's Excel templates or the relevant forms. Prepared certificates can be passed through defined approval processes, and the status and history of issued certificates can be tracked.
Customer Portal and Digital Certificate Management
Personal User Portal
With personal user portals that can be created for customers, calibration certificates can be delivered digitally. Customers can view their certificates, submit certificate revision requests digitally and create calibration lists for their own devices.
Field Operations and Reference Equipment Management
Field Job Planning and Tracking
Calibration and other field activities to be carried out outside the laboratory can be planned, staff can be assigned and the completion status of field jobs can be tracked.
Intermediate Checks, Maintenance, Recalibration and Usage Tracking of Reference Equipment
Intermediate checks, maintenance and recalibration of the laboratory's reference equipment can be planned; upcoming tasks and calibration dates can be tracked and completed work recorded. For reference equipment used in field work, the job it went out for, departure and return dates, the person who used it and its usage can also be followed. This way both the metrological fitness and maintenance of reference equipment and its movements outside the laboratory are managed in an integrated way.
Partner Laboratory Calibration Tracking
Calibrations outside Meteg's own scope that are referred to partner laboratories can be followed in the system.
Personnel, Training and Competence Management
Personnel Competence and Authorisation
The calibration fields and device groups for which staff are authorised can be managed in the system. By defining staff duties and competences, each person can be given access only to the activities they are authorised for.
Training Management
Staff training can be planned, completed training recorded and training followed per person.
Management of Personnel Intermediate Checks (PIC)
Personnel intermediate checks for laboratory staff can be planned and carried out, and their results evaluated. This allows the continuity of staff technical competence and performance to be monitored regularly.
Interlaboratory Comparisons and Proficiency Testing
ILC / Proficiency Testing Processes
Interlaboratory comparison and proficiency testing activities can be planned; participation, related records, results and evaluations can be followed in the system.
Quality Management System
Quality and External Document Management
Quality documents such as procedures, instructions and forms, as well as standards, guides and other external documents, can be tracked. Documents can be reviewed at defined intervals, checked for currency and review records kept.
Corrective Action (CAPA) Management
Identifying nonconformities, evaluating their causes, defining actions, assigning responsible persons, tracking deadlines and evaluating the results of actions can all be managed in the system.
Internal and External Audit Management
Internal audits can be planned and carried out; audit findings, nonconformities and related actions can be recorded. For external audits, findings, observations, nonconformities and related actions can also be tracked.
Process Management
Responsibilities, activities, objectives and results of the processes defined in the quality management system are recorded, so process performance can be evaluated systematically and measurably.
Detailed Reporting and Performance Tracking
Certificate and Personnel Performance
The number and status of calibration certificates produced can be tracked. Certificate-based data allows the work carried out by staff and their performance to be evaluated.
Sales Team Performance
Customer calls, meetings and sales results of the sales team can be recorded. Performance can be measured and reported from call, customer feedback and sales data.
Customer Feedback and Satisfaction Reports
Reporting customer feedback rates and customer satisfaction data allows the development of customer relationships to be followed.
Accounting, Invoicing and Collection
Tracking Financial Processes
Invoices can be created from intake records; invoicing, collection and due-date processes can be followed in the same system.
The Role of KALDATA at Meteg
At Meteg Kalibrasyon, KALDATA is not used only as software that prepares quotations or creates calibration certificates. Many activities are managed in a single system: from quotation to device intake, from calibration to certificate, from personnel competence to training, from personnel intermediate checks to interlaboratory comparisons, from document management to CAPA and audits, from field operations to intermediate checks, maintenance and recalibration of reference equipment, and from customer relations and sales performance to financial processes.
This structure helps the laboratory run its activities within a traceable, measurable, reportable and sustainable management structure.
Results
“With KALDATA we can follow the laboratory's technical, quality, personnel, customer and commercial processes from a single point, and make the data we obtain measurable and reportable.”
