What Is Testing Laboratory Software and Who Is It For?

BYK Software's testing laboratory software is a web-based sample tracking and reporting system developed for construction materials laboratories that test concrete, steel and rebar, soil and aggregates; in the industry it is also known as a LIMS (Laboratory Information Management System). The whole process runs in a single application: from accepting the sample into the laboratory and scheduling test dates, to entering raw data, preparing the report, approving it, signing it electronically and making it available to the customer.

Instead of paper logbooks, scattered Excel files and manually assigned sample numbers, a single record system is established that shows the stage of every sample, blocks incorrect entries and produces the report from the same data. The software is used from a browser; the laboratory's name, logo and report templates are defined during setup.

Sample Intake: Separate Screens for Concrete, Steel, Soil and Aggregates

Each material group needs different intake information, so the software provides separate intake screens for concrete, steel, soil and aggregates, and other samples.

  • Concrete sample: concrete class, test group, slump, concrete and ambient temperature, number of mixers, concrete volume, producer, delivery note number, sampling location and date, the person who took the sample and air content are recorded.
  • Steel and rebar sample: the sample is marked as Accepted, Conditionally Accepted or Rejected; whether it will be returned and whether a statement of conformity is requested are recorded.
  • Automatic numbering: the request number, sample number and report number are generated by the software. Two users saving at the same moment cannot receive the same number; this is prevented at database level.
  • Intake printouts: the plan record and the request form are produced as PDF with sample counts calculated automatically.
  • Sample sets: concrete samples are created with separate sample numbers according to the number of sets defined for the class.


Test Dates Are Scheduled Automatically and the Daily Work List Is Ready

The most common problem with concrete samples is missing the crushing day. The software takes this follow-up off the user.

  • Automatic crushing date: when a sample is saved, the date of each test is calculated by adding the waiting days of the test to the sampling date. Separate days can be defined for 7, 28 and 56-day tests, mould removal and water curing.
  • Daily work list: the screen lists the samples to be crushed on the selected day, filtered by 7, 28, 56 days and other; the technician sees the day's work on a single screen.
  • Raw data entry: mass and pressure values are entered; “Deney Tamamla” (Complete Test) moves the sample to the next stage. Steel and water impermeability tests have their own raw data screens.
  • Equivalent strength: the result of a 100 mm cube sample is converted to its 150 mm cube equivalent by the software.


Calculation and Report Preparation with Excel Templates

Laboratories have done their calculations in Excel for years. The software does not break this habit; it makes Excel a controlled part of the process.

  • Template definition: an Excel report template, number of pages and accreditation information are defined for each test group.
  • No manual data transfer: the raw data entered is written into the template by the software, the formulas are recalculated and the report is produced as PDF. No copy-and-paste errors.
  • Automatic cover page: the report cover is generated automatically and merged with the report.
  • Accreditation mark: accreditation scope is flagged at test and report template level; the position of the logo, stamp and accreditation mark on the report is set in the configuration.
  • Multilingual definitions: test names and signatory titles can be defined in Turkish, English and Russian.


Approval, E-Signature and QR-Coded Report Verification

  • Staged report flow: reports pass through Pending, Review, Approval, E-Signature and Completed. The screen separates reports into tabs by stage and shows how many reports each tab contains.
  • Preparer and approver are separate: the name, title and signature number of the preparer and the approver are placed on the report.
  • Send back for review: a report found to be incorrect is sent back for review with the reason stated; the previous signatures become invalid.
  • Electronic signature: the preparer and the approver sign the report separately; when both signatures are complete the report moves to Completed on its own and the screen refreshes.
  • Verification by QR code: a QR code is printed on the approved report. Anyone scanning it reaches the original report, and sees an invalid warning for reports that have been superseded.
  • Bulk download: completed reports are downloaded as a single file by company and date range.


Conformity Assessment and Conformity Reports

  • Concrete strength conformity: the average of the sample results is compared with the lower limit defined for the concrete class and a Conforming or Non-conforming result is produced.
  • Water impermeability class: the test result is assigned to the relevant class between W4 and W20.
  • Class definitions: for concrete and steel classes the diameter, applied load, mandrel diameter, bend and rebend angle, and lower and upper limits are defined.
  • Conformity reports: separate conformity reports are prepared for concrete and soil; these reports also go through the approval and e-signature flow.
  • Monthly chart report: monthly conformity chart reports by concrete class are added to the system and shared with the customer.


Customer Portal: Reports Online

Your customers do not have to phone for a report or wait for an e-mail.

  • Only their own reports: the customer user logs in to the portal and sees and downloads only the completed reports and conformity charts belonging to their own company.
  • Conformity report request from the portal: the customer can request a conformity report for a completed report. The software checks whether the request complies with the rules and places it on the laboratory screen.
  • Easy user creation: a portal user is created from the customer card; the password is generated automatically and the login details are sent by e-mail.


Sample Return, Periodic Summary and Tracking Lists

  • Sample return: samples to be returned are selected in bulk and handed over; the date, method, address and contact of the handover are recorded and the handover form is produced as PDF.
  • Periodic summary: for the selected customer and period the number of tests performed is calculated by work item, multiplied by the unit price according to the contract type and exported to Excel.
  • Tracking lists: the sample list and the concrete, steel and soil tracking lists are followed from a single screen; existing logbooks can be imported from Excel.
  • Home page summary: request counts by category, tasks and reports awaiting signature are shown on the home screen.


Controls That Prevent User Errors

An error in a test report directly affects the credibility of the laboratory. The software is designed to prevent errors before they happen.

  • Intake date lock: the intake date cannot be changed after saving.
  • Status-based lock: a request with raw data entered or a report written cannot be edited.
  • Mandatory field and range checks: a record cannot be completed without the customer, date, class, slump, sampling location and sampler; the number of mixers and the concrete volume must be within the defined range.
  • Test group and class consistency: a concrete class that does not match the selected test group cannot be saved.
  • Handover check: samples belonging to different companies cannot be placed in the same handover record.
  • Confirmation before delete: the user is asked to confirm delete operations.
  • Permission checks: view, save, update, delete and print permissions are defined separately for every screen; a user without permission does not see the button.
  • Audit trail: every record keeps the creating and modifying user with time information; a deleted record is not removed from the database but deactivated. Logins are recorded.
